These rules can change. The version reference above is calculated from the wording of this document, so if it differs from the one recorded against your acceptance, this document has been changed since you accepted it and you will be asked to read and accept it again.
This document sets out what this deployment is for and the rules for using it. It applies to everyone who signs in. Accepting it is a condition of use, and the date and version you accepted are recorded against your account.
What this tool is for
This is an assistant for finding and summarising material in the documents your organization has put into it, and in any other sources it has been configured to search. It is a reference aid for the people who work here: it helps you locate what a document says and, where it can, shows you the passage an answer was drawn from.
What it is not for
It is not a medical device, and it must not be used to diagnose, prescribe or triage. Nothing it produces is a clinical decision, a professional opinion, or a substitute for one. It is not a system of record: do not use it as the place a decision, a note or a result is kept. It is not an emergency channel — if someone is at risk, use the route your organization has for that.
What you must not submit
The questions you ask, relevant excerpts from the documents you upload, and images of pages from them are sent out of this deployment to a third-party AI provider that generates the answers, as the Privacy Notice describes. Do not type or upload any of the following:
- Anything that identifies a patient or any other individual — names, addresses, dates of birth, phone numbers, record or insurance numbers, photographs of a person, or a scan or photograph of a document carrying them. Describe the clinical situation without the identifiers: an age band, the presentation and the relevant history are usually enough for the assistant to help.
- Passwords, access codes, API keys or any other credential, whether yours or someone else's.
- Material you are not permitted to disclose — anything under a confidentiality obligation, a licence that forbids it, or a legal restriction — and anything unlawful, or intended to harass, defraud or impersonate.
Do not attempt to make the assistant ignore these rules, and do not use it to produce content that would breach them. If you are unsure whether something may be entered, do not enter it: ask whoever administers this deployment first.
What you remain responsible for
Answers are generated by an AI model and can be wrong, incomplete, or out of date, including when they cite a source. Check answers against the passages they cite and against your own professional judgement before you rely on them or act on them. The judgement, and the decision, remain yours. Your account is personal: do not share it or let anyone else use it, and tell whoever administers this deployment if you think someone else has access to it.
Your agreement
By accepting this document you confirm that you have read these rules and will follow them. Your account, the version reference shown above and the date and time of your acceptance are recorded. If this document changes you will be asked to accept the new version the next time this service checks, and the earlier acceptance stays on record as what you were shown at the time, unless it has to be erased at your request or to meet a legal obligation. Misuse can lead to your access being withdrawn by whoever operates this deployment.
